General Purpose
The Customer Service Representative (CSR) provides front-line customer service for the Business Development Centre to staff, clients, and other stakeholders of the University of Guelph, Ridgetown Campus. This position will be working with teams that coordinate conferences and certification training.
Duties and Responsibilities
Responsibilities include working with Project Coordinators to edit program material ensuring compliance with AODA. The CSR supports stakeholder relations by working with clients to ensure logistical requirements for programming are met. This includes communicating with venues to ensure audio/visual requirements are in order and scheduling required support persons for events and training sessions. The CSR answers enquiries from clients and provides information on programming. This position accepts and enters client registrations, via web, phone or email into the computer database program, ensuring client information is complete and accurate. This also involves sending confirmations via email or occasionally mail. This position is responsible for data entry and printing and mailing certificates, letters and/or training cards. The successful incumbent will also be responsible for shipping, inventory management, contacting stakeholders and general office administration such as incoming and outgoing mail, photocopying, scanning, faxing, sending emails, updating documents and filing.
Requirements
- Completion of secondary school. A community college diploma in a relevant discipline would be considered an asset.
- Six months to one year of previous experience
- Exceptional organizational skills and planning skills with the ability to meet deadlines and adapt to changing priorities
- Strong computer skills including Microsoft Office Suite (Excel, Word, PowerPoint, Outlook 365), and the ability to learn and adapt to specialized software systems
- Demonstrate tact, diplomacy, patience and sensitivity to issues, concerns and needs of staff and clients.
- Oral and written communication skills.
- Experience working in conferences or similar events is an asset.
