General Purpose
The Department of Family Relations and Applied Nutrition is a long-established academic unit in the College of Social and Applied Human Sciences that offers three different undergraduate specializations in the BASc degree program (Applied Human Nutrition, Child Studies, and Family Studies and Human Development).
Reporting to the Administrative Assistant to the Chair, the incumbent supports undergraduate program administration, including undergraduate course selection processes and course scheduling, assisting the Chair in undergraduate enrolment management and teaching plans regarding required instructor and GTA resources. This position manages inquiries, processes all undergraduate course waivers, student feedback questionnaires, and contributes to communications related to the undergraduate program (including handbooks, promotional materials, and web pages), as well as providing general departmental administrative support and back-up to the Administrative Assistant to the Chair. Responsibilities for course scheduling and waivers are for the entire BASc program (approximately 900 students in 3 majors and students taking departmental courses in the department’s two minors, Family and Child Studies and Health and Well-Being); course scheduling for graduate programs in the department including: MSc and PhD Family Relations and Applied Nutrition, Master of Applied Nutrition, Master of Relational and Family Therapy, Master of Psychotherapy, and Master of Arts in Mental Health (approximately 150 students).
Duties and Responsibilities
Key Responsibilities include:
- Scheduling undergraduate and graduate courses in collaboration with the Department Chair
- Maintenance of the teaching plan spreadsheet, including instructor information, teaching assistants, enrolment numbers, room assignments, etc
- Tracking of students in independent study courses
- Liaising with the Office of Registrarial Services regarding course scheduling
- Updating the DCU scheduling software with course offerings
- Organizing, monitoring, and coordinating midterm exams, deferred exams, and SAS exam requests
- Coordinating the final grade submission process
- Administering Student Feedback Questionnaires, including in-person questionnaires when requested by the instructor
- Monitoring and managing course enrolment
- Collecting course agreements for internship courses, course outlines, exams, and other documentation as per document retention policy, and documenting when documents can be shredded
- Developing and updating the departmental website using Drupal
- Preparation and distribution of reports for the Chair as requested
- Supporting quality assurance cyclical program review via data collection
- Arranging for electronic access and key distribution for the department
- Managing internal and external services for the department (e.g. ordering supplies, textbooks, photocopier maintenance, shredding, work orders, etc)
- Scheduling committee meetings, drafting agenda, taking minutes, managing files
- Providing backup assistance in the department during absences
Requirements
Requirements of the position include:
- A minimum of two years’ post-secondary education and a minimum of one year related experience in a post-secondary setting, or an equivalent combination of education and experience
- Excellent written and oral communication, interpersonal, and organizational skills
- Knowledge of the Undergraduate Calendar and university policies and procedures
- Ability to maintain confidentiality, deal with frequent interruptions, and work under pressure
- Proficiency in Office software and email (e.g., Outlook, Excel spreadsheets, etc), Colleague, WebAdvisor, Drupal (for website maintenance), Qualtrics, and DCU scheduling software
- Intermediate to advanced Excel spreadsheet skills
