Duties and Responsibilities
Reporting to the Assistant Registrar, Academic Records, Enrolment Services, the Transcript Coordinator is responsible for the production, verification and distribution of hard copy and digital official transcripts for all student groups at the University of Guelph (main campus and former regional campuses). Requests for official transcripts are received from current and former students and alumni via an online request and payment form. The client can request regular or rush service and choose from delivery options such as in-person pickup, e-mail, mail or courier.
The incumbent is also responsible for the processing of EDI (Electronic Data Interchange) outgoing official transcripts requested by University of Guelph students through the Ontario Universities Application Centre (OUAC) and the Ontario College Application Service (OCAS). EDI transcript processing requires the management of an electronic interface between OUAC/OCAS and Colleague.
The Transcript Coordinator is responsible for issuing refunds and resolving payment disputes as required. They will also reconcile online payments and submit revenue remittance reports on a bi-weekly basis to Revenue Control.
The Transcript Coordinator will also assist the Academic Records Coordinators during peak periods with the processing of grade submissions, grade changes, academic misconduct decisions, academic review decisions, end of semester academic coding, Letter of Permission processing, response to legal requests for records, and the organization and filing of related documents in the electronic student filing system.
Requirements
Requirements of the position include: one (1) year of community college in business or office administration and one (1) year related office experience, or an equivalent combination of education and experience. In addition, the successful incumbent will require: excellent communication and interpersonal skills; excellent attention to detail; strong organizational skills; the ability to work independently as well as part of a team; the ability to multi-task and prioritize effectively, while maintaining a high quality of work; the ability to work well under pressure, with multiple interruptions and strict timelines; technical confidence and competency; and possess basic bookkeeping skills and revenue remittance experience. Familiarity with a Student Information System, preferably Colleague, will be considered an asset.
