General Purpose

Reporting to the Operations Supervisor, this position supports the integrated front desk of Student Wellness Services, which includes Student Health Services, Counselling Services, Student Accessibility Services, and the Health and Performance Centre. The incumbent serves as the first point of contact for students, staff, faculty, parents, off-campus healthcare providers, and the general public. 

 

Duties and Responsibilities

  • Respond to inquiries and assist students seeking services;
  • Register students accurately for pre-booked and drop-in appointments;
  • Schedule appointments, direct calls, answer questions and gather information; ensure appropriate forms are completed for registration to facilitate visits and ensure accurate billing and/or statistical information;
  • Expert use and management of electronic medical records and scheduling systems, currently including Input Health and AIM;
  • Manage a large volume of information supporting the work of Student Wellness healthcare professionals across multiple disciplines;
  • Provide a trauma-informed approach, put students at ease, identify needed services and clearly convey complex information.

Service Assistants ensure routine clerical support is maintained at a high standard, including opening and closing the office, answering phones and emails, filing, managing mail and electronic data, billing, and receiving payments. They also ensure that student information is handled confidentially and in compliance with PHIPA regulations.

 

Students may present at the front desk feeling confused, distressed, or mistrusting of mental health and disability-related services. Many experience stigma, situational distress, or financial insecurity, and many have faced barriers to health care and support. Service Assistants are expected to interact with an open mind and without judgment, listening compassionately and guiding students to the appropriate resources.

 

Requirements

  • One-year community college program and six months of relevant experience to this role. 
  • Strong multi-tasking and prioritization skills
  • Ability to handle frequent interruptions
  • Accurate tracking of detailed information in a fast-paced, dynamic environment.
  • Procedures may change week to week or day to day as Service Assistants adapt to the needs of both healthcare professionals and students.
