General Purpose

Reporting to the Supervisor, the Mail Clerk is responsible for mail collection, processing and distribution of official University incoming, outgoing and interdepartmental mail.

 

Duties and Responsibilities

Responsibilities of the Mail Clerk Include:

  • Collecting, receiving and preparing incoming internal and external mail for distribution according to proper destinations and time schedule.
  • Establishing and applying correct postal rates to all classes and weights of mail, which can change frequently.
  • Assist with the loading and unloading mail services vehicle.
  • Bagging and tagging mail based on weight and volume, readdressing and forwarding incorrectly addressed faculty, staff and student mail.
  • Monitor and record postage meters, volume and monetary activity providing a report to the supervisor monthly.
  • Recording daily mail charge records, registered mail, receipts of mail for distribution that require invoice charges and preparing documents regarding Canada Post specialty services ie. Priority courier, registered, insured, express post.
  • Provide excellent customer service to users regarding proper mail procedures and any other assistance needed.

 

Requirements

  • Secondary School graduation coupled with at least six (6) months of related experience in customer service with detailed oriented work.
  • Incumbent must have experience with computers and other office equipment.
  • Ability to work well independently as well as part of a team, along with good verbal communication and interpersonal skills are required.
  • Strong organizational skills, tidy and orderly work habits and adaptability are essential.
  • Previous experience working with Canada Post and knowledge of regulations and guidelines is preferred.
