General Purpose
We are seeking a highly motivated and detail-oriented individual to join our team as an HR Assistant. The ideal candidate will play a crucial role in supporting various HR functions, including payroll processing, employee records management, and HR services support. This position requires strong organizational skills and the ability to work collaboratively with team members across the University.
This role will primarily support the Ontario Veterinary College (OVC) portfolio which contains approximately 500 employees and provides backup coverage and payroll support to approximately 425 Health Sciences Centre (HSC) employees. This represents approximately $65M in personnel costs annually, excluding benefits.
Duties and Responsibilities
- Processes bi-weekly payroll from beginning to end in coordination with the Payroll Administrator while adhering to strict deadlines.
- Creates and updates employee appointment information including processing contract extensions, contract terminations, workload adjustments, secondments, and general appointment data changes.
- Maintains data integrity by coordinating with OVC/HSC, and Central Payroll teams where it is necessary to have corrections made.
- Partners with Operations Managers to track faculty vacation and sick time reporting, reconcile vacation, and audit employee time and attendance.
- Drafts employees offer letters and offer of extension letters and sends to employees once approved along with employee onboarding and time and attendance information.
Requirements
- One (1) year of post-secondary education in Business Administration, Finance, or Human Resources.
- One - two years of experience in human resources or administrative support is required.
- Demonstrated excellence applying collective agreements to all employees in each bargaining unit based on payroll requirements.
- Effective knowledge of computer skills and programs (Excel, Word, and Outlook, SharePoint).
