General Purpose
Reporting to the Exam Centre Supervisor, the Exam Assistant (Proctors & Satellite Locations) works closely with the staff team in the SAS Exam Centre to ensure academic examinations are administered in a manner that is consistent with University of Guelph policy. The Centre exists specifically to provide accommodations to students who experience disabilities in the context of their tests and exams.
Duties and Responsibilities
In general, Exam Assistants help with troubleshooting exam problems, including unexpected formats that change the accommodations required, booking errors, and handling accommodations that have implications for the integrity of the exam such as memory aids and calculators. They are responsible for configuring rooms and computers to meet the accommodation needs of students, and seating students for their exams. As a frontline staff member, they are responsible for the immediate response when a student appears to have been cheating. This takes place in the context of a fast paced environment that can seem chaotic at times with many sudden and unexpected changes.
In addition to frontline activities shared with other Exam Assistants, the incumbent is responsible for proctors and satellite exam locations. This work includes hiring, training, scheduling and supervising up to 60 part-time casual staff. It also involves coordinating the logistics associated with our largest satellite location during the final exam period.
In the event that a student with a mental health disability experiences distress in the course of a test or exam, the Exam Assistant helps to calm the student and determine an appropriate course of action. Finally, they respond to inquiries from the campus community via email, telephone or in person about procedures relating to the SAS Exam Centre.
The hours of the SAS Exam Centre range from 8:30am to 4:30pm during on regular business days, up to 7:30am to 9:30pm (including Saturdays) during busy times. As such, the Exam Assistant must have flexibility to work evening and weekend shifts as needed.
Requirements
The successful applicant will have completed one (1) year post-secondary in office administration or business administration and some experience working with students with disabilities, as well as experience with academic policies. Proficiency with adaptive software used by the SAS Exam Centre, a thorough understanding of policies and procedures relating to exams, knowledge of the Ontario Human Rights Code as it pertains to disabilities, and skill at deescalating students in distress. The position requires skillx and knowledge relating to hiring, training, coordinating and supervising part-time staff.
