General Purpose
Reporting to the Supervisor of Client Services and Recreation, the Client Services (CS) Clerk position assists with the recruitment, training, hiring and functional supervision of approximately 35 part-time student staff.
Duties and Responsibilities
The CS Clerk position is responsible for effectively communicating information, being knowledgeable and having an in depth understanding of all programs, services and memberships.
They are responsible for ensuring the day-to-day activities of Client Services are conducted with efficient and effective customer service, adhere to internal control policy and procedures and fulfill building safety and security requirements.
As a front-line ambassador for the Department of Athletics, the incumbent must be able to problem solve, resolve conflicts and disseminate accurate and timely information to Athletics Centre members, other unit areas and the general public. They are responsible for daily functional supervision of part-time staff, administering work schedules, assigning tasks, validating hours worked for payroll, and dealing with minor discipline issues. Daily, the CS Clerk position will be responsible for the closing of the Guelph Gryphons Athletic Centre and conducting building inspections and security checks to identify and report facility concerns or inappropriate conduct by users.
Point of Sale transactions will be conducted by the CS Clerk. In order to perform over the counter sales the incumbent will be responsible for understanding and utilizing the ActiveNet Software Application. They will be required to process membership fees, sell available merchandise, rent/lend equipment and register clients for courses. In addition, the CS Clerk will be responsible for processing refunds, running daily cash balance reports and performing multiple forms of transactions requiring cash handling, and depositing revenue. Inventorying, monitoring and replacement of all equipment that can be signed in and out at the Client Services counter, is the responsibility of the CS Clerk. They must also perform tasks associated with the laundry service provided by Client Services, handle and secure lost and found items and deal proactively with customer concerns as they arise.

Requirements

Two year Community College and up to 1.5 years relevant experience in customer service and supervising part-time staff.
- Cash handling and client service administration, or an equivalent combination of education and experience
- Strong verbal communication skills
- Customer service abilities and work well within a dynamic and demanding team environment
- Excellent leadership skills and the ability to train and monitor the day-to-day duties of a transient workforce
- Effective problem solving and conflict resolution skills combined with demonstrated initiative is crucial to the position's requirements
- Strong computer skills and familiarization with the ActiveNet Registration Software system and Microsoft Office Applications are an integral component to the candidate’s qualifications.
Hours of Work:
Sunday to Thursday starting 8 hours prior to building close time until close (typically 4:30pm to 12:30am)
