General Purpose
The Division of Student Affairs enhances the University of Guelph’s distinctive student experience through programs and services that support learning, growth, and well-being. Reporting to the Office of the Vice-Provost (Student Affairs), the Division includes six departments: Athletics, the Child Care and Learning Centre, the Experiential Learning Hub, Residence Life, Student Experience, and Student Wellness Services. The Student Affairs Shared Service Unit provides business office/financial support to these departments.
Together, these teams foster student success from pre-arrival to graduation through initiatives such as career and co-op education, leadership development, inclusion programming, recreation, child care, and health and wellness supports. The Division also partners with faculty and staff to promote a thriving campus community and to enrich both the curricular and co-curricular experience.
Reporting to the Business Manager, Student Affairs Shared Service Unit, the Business Office Assistant plays a key role in supporting the financial operations of Student Affairs departments, including Student Wellness Services, Athletics, Experiential Learning, and other units as they integrate into the Student Affairs Shared Service Unit. This position ensures accurate and timely processing of financial transactions, supports annual forecast and budget processes, and provides other business operations support provided by the Shared Service Unit.
Duties and Responsibilities
- Process financial transactions such as invoice payments, cheque requisitions, expense reimbursements, and journal entries
- Purchasing procedures such as creating purchase orders for equipment, supplies software and other expenditures; advising staff on purchasing policies, procedures, and guidelines; liaising with vendors on pricing and product availability
- Prepare deposits for approval by the Business Manager
- Assist with coordination of contracted labour contract renewals
- Maintain accurate and complete documentation in accordance with institutional policies and procedures
- Perform financial reconciliations and assist with month-end and year-end processes and reporting requirements
- Work with the Business Manager and Student Affairs managers in the preparation of annual forecasts and budgets
- Other administrative tasks as required (photo-copier maintenance requests, work order requests, liaising with file storage vendor)
- Provide training and support to Student Affairs staff on financial policies, procedures and systems
- Assist with projects and other Business Office initiatives as needed
Requirements

The successful candidate will hold a Two-year diploma with one (1) or more years of related experience; accounting designation is preferable.
The successful candidate will possess the following skills and characteristics:
- Excellent interpersonal and communications skills – both oral and written
- Strong attention to detail, analytical, reconciliation and problem-solving skills
- Basic financial knowledge and awareness of debits and credits, revenues, and expenses
- Experience with Microsoft Office 365 applications including Excel, Word, PowerPoint, SharePoint
- Excellent time management and prioritization skills
- Demonstrated ability to work independently and as part of a team.
