General Purpose

Reporting to the Manager, Human Resources Physical Resources (PR-HR Manager) and working closely with the Coordinator, Payroll & HR, the Administrative Support Clerk is responsible for: broad-based information management within Physical Resources; supporting various record-keeping and related functions within the Finance and Administration directorate; and for providing general clerical support and back-up as needed. The Administrative Support Clerk performs special assignments, and other related duties as assigned.

 

Duties and Responsibilities

  • Review daily payroll time entries
  • Respond to all payroll discrepancies
  • Perform data entry related to a variety of functions as needed
  • Track and update various types of departmentally related data
  • Electronically assemble payroll information for the pay period, ensuring accuracy and completeness
  • Prepare advance payroll summary, checking for errors and correcting as needed
  • Uploading the pay information to the University’s central payroll system
  • Reviewing error reports and making corrections as needed
  • Prepare a variety of statistical reports and summaries as required
  • Develop, maintain and analyze specific purpose spreadsheets to track various types of information (e.g. vacation reports, union leaves, contract end dates etc.)
  • Process employee safety shoe subsidy claims in SAP Conquer as required
  • Perform duties of Coordinator, Payroll & HR in their absence
  • Assist the Coordinator, Recruitment & HR with seasonal student recruitment by reviewing resumes, conducting interviews, refence checking, and moving successful candidates through Gryphons at Work (GAW)
  • Organize and conduct employee orientations
  • Prepare announcements for new hires and exiting employees
  • Plan and organize departmental events, meetings and training sessions as required
  • Create digital content such as PowerPoint Presentations, MP4 videos, posters, invitations, ecards etc.
  • Update the digital boards regarding events, new employee announcements etc.
  • Utilize Qualtrics to create and run surveys for various events
  • Special projects as assigned
  • Other related duties as assigned

 

Requirements

  • Secondary School Diploma (minimum)
  • 2+ years of relevant experience, preferably in a university setting and/or unionized environment
  • Intermediate knowledge of Excel and Microsoft Office tools
  • Strong organizational and analytical skills
  • Strong problem-solving skills
  • Effective presentation skills and interpersonal communication skills
  • Creativity and the ability to generate original ideas and visual storytelling using various types of digital media
  • Ability to work well both independently and as a member in a team environment
