General Purpose
Reporting to the Manager, Capital Accounting, the Accounting Clerk will ensure that all invoices relating to Physical Resources capital projects and operating units are coded and paid accurately in a timely manner. At any given time, there could be upwards of 200 projects open with a value of close to $300 million.
Duties and Responsibilities
- Processing vendor invoices for payment and maintaining all purchasing and financial records
- Maintaining a database for tracking all capital project related contracts and expenses, ensuring information is up-to-date and accurate
- Entering expenses into Physical Resources maintenance management system
- Submitting and maintaining high value purchase orders
- Opening and closing capital projects in Physical Resources’ multiple capital databases
- Ensuring all contracts, purchase orders and invoices are compliant with the Broader Public Sector Procurement Directive and University of Guelph policies
- Assisting in month-end and year-end financial reporting and reconciliations
- Preparing external invoices and revenue remittance vouchers for department revenue
- Assists with preparation of expense claims and verifies that all submitted claims are complete and correctly coded
- Preparing journal entries and reconciling procurement card purchases
- Other associated duties as assigned
Requirements
- A two-year Community College diploma in an accounting-related field
- A minimum of two years’ related experience, preferably in a fast-paced financial environment, or an equivalent combination of education and experience
- Strong organization skills
- Effective oral, written and interpersonal communication skills
- Ability to perform a high volume of work accurately and promptly with attention to detail
- Ability to work well both independently and as a member in a team environment
- Strong computer skills with proficiency with a variety of software including Microsoft Excel and databases
What Will Give You The Edge?
- Experience with the University’s Financial Reporting Systems (FRS) would be an asset
- Certification or courses in accounting or bookkeeping
- Construction industry experience
