General Purpose
The Ontario Veterinary College (OVC) is Canada’s #1 veterinary school and the academic home of the Doctor of Veterinary Medicine (DVM) program at the University of Guelph. The four-year DVM program enrolls approximately 140 students each year. Over 120 faculty members, staff veterinarians, Doctor of Veterinary Science students, interns, and veterinary technicians participate in the delivery of the program.
The Academic Assistant (AA) is a dynamic and fast paced position that would be well suited to a person who is passionate about teaching and learning, continuous improvement of the instructor experience and enjoys daily interactions with instructors. Reporting to the Senior Manager, Student Experience, the AA is the first point of contact for DVM instructors, and provides faculty with administrative support including for exams, CourseLink, and processes related to students registered with Student Accessibility Services.
Duties and Reponsibilities
All members of OVC Integrated College Services work within an environment of continuous improvement and quality service provision. The AA works within a skilled administrative team that is responsible to:

Provide support to instructors of the DVM Program, including:

Student Accommodations

Exams

Managing multiple organizational email accounts, addressing requests for support, information, documents, data, and more.

Ensure seamless service delivery across departments for processes related to supporting instructors (e.g., CourseLink, student accommodations, and exams) and tracking of the same.

Assisting in documenting and maintaining Standard Operating Procedures for the DVM program.
Requirements
To excel in this role, you should have:

A minimum of two years of community college education in a business program, coupled with relevant administrative support experience, or an equivalent combination of education and experience.

Proficiency with computers, including advanced use of MS Office (Word, Excel, SharePoint) software.

Previous experience with CourseLink (or another Learning Management System) is considered an asset.

Exceptional communication skills and the ability to work both independently and collaboratively as part of a team.

Demonstrated high performance in a client service-oriented environment, with a strong commitment to professionalism, confidentiality, and data security when dealing with private student and institutional information.

Excellent critical thinking, problem solving, and communication skills are required, as well as demonstrated high performance in a client service-oriented environment.

The ability to maintain professionalism, confidentiality, and security when working with private instructor, student, and institutional data.

Experience within a post-secondary academic environment is preferred.
